How to organise your work as a football agent.
An agent juggles dozens of conversations, dates and negotiations at once. This guide brings together what works to keep everything in order, whatever tool you use.
The problem: everything is scattered
Notes on your phone, spreadsheets, chats, emails and whatever each person remembers. When a player's information is in five different places, finding it takes time and it's easy for something to slip through: a contract about to expire, a call you owe or a club you needed to get back to.
Getting organised isn't about working longer hours. It's about having every piece of information in one place, ready when you need it.
1. One profile per player
Everything about a player should be in the same place:
- Their current club and contract, with the end date.
- Your representation contract and, if they have any, their sponsorship contracts.
- The people around them, such as family or their lawyer, and how to reach them.
- Their history with you: calls, meetings, tasks and notes.
That way, when a club asks about them or you need to explain everything you've done for your player, you have the answer in a minute.
2. Log every conversation right away
An agent's most valuable information comes from calls and meetings, and it's also the information that gets lost most often. The rule is simple: after every important conversation, record what was discussed and what's still pending.
If typing slows you down, say it out loud. With wiqo's Voice reports you describe what happened and the app creates the activity, tasks and events, linked to the player and the club.
3. Follow each deal stage by stage
A deal is rarely linear: you talk to several clubs at once and each one is at a different point. To keep track, put each club in its stage, from prospecting to closing, and always note the next step with a date.
- Which clubs are interested and where each one stands.
- What the next step is with each club and when it's due.
- What has been proposed and what has been answered.
In wiqo, each deal shows every club with its stage and next step. You'll find it in Deals.
4. Watch expiry dates well in advance
An expiring contract is an opportunity, but also a risk if it catches you off guard. What matters is finding out with time to spare, not the week before. Set reminders as far ahead as you need for each type of contract: with the club, with your agency and sponsorship.
In wiqo, the Dashboard shows the contracts about to expire and you choose how far in advance you want to be reminded.
5. A calendar that includes matches
Your week isn't just meetings and trips: it's also your players' matches. Having them in the same calendar as your tasks helps you plan visits and calls, and know how each player got on.
In wiqo, your players' matches appear in your calendar automatically and, once they finish, you see their minutes, goals, assists and rating.
6. Stay in touch with your players
With lots of players, it's easy for weeks to go by without talking to one of them. Check from time to time who you haven't been in touch with for the longest and give those calls priority. wiqo lets you know when it's been a while since you spoke to a player.
7. Some time each week to review
Set aside a fixed time each week to go over open deals, overdue tasks, upcoming contract expiries and the players you haven't spoken to. Ten minutes well spent saves you plenty of nasty surprises.
In wiqo, wiqo AI prepares that review for you every week, with what's urgent for each player and recommendations you can turn into tasks.
In short
- One place for everything about each player.
- Every conversation, logged right away.
- Every deal, with its stage and next step.
- Contract reminders with time to spare.
- Matches and tasks in the same calendar.
- A fixed weekly review.
