How to keep track of your players' contracts.
Knowing when each contract expires, with time to act, is one of the most important parts of an agent's job. Here's how to organise it.
Which contracts to track
- The player's contract with their club.
- Your representation contract with the player.
- Their sponsorship contracts.
Each one has its own dates and timings, and it's best to have them all in view in the same place, inside each player's profile.
Note the key dates
For each contract, save at least the start date, the end date and any important date in between, such as a review or a renewal option. Keep the signed document too, somewhere safe.
Set reminders in advance
What helps isn't knowing that a contract expires, but finding out with enough time to prepare the conversation. For example, you could look at club contracts a year ahead and at agency and sponsorship contracts a few months ahead. Every case is different: choose the timings that work for you.
Review expiry dates every week
Include contracts in your weekly review: which ones are coming up, who you need to talk to and which tasks you need to create. That way no expiry date catches you off guard.
Protect the documents
Contracts contain sensitive information about your players. Store them somewhere only you can open them, not in a chat or a shared folder.
How wiqo does it
- The Dashboard has an indicator of contracts about to expire: club contracts at 12 months, agency contracts at 6 months and sponsorship contracts at 3 months.
- Expiry reminders are created automatically, as far in advance as you choose.
- In each player's profile you have their contracts and documents, encrypted: they only open with your passcode.
