How to organise a football agent's tasks and day to day.

Matches, trips, meetings, calls and a pile of small tasks that can't wait. This guide brings together a simple method to keep your week under control, whatever tool you use.

An agent's day doesn't fit in a list

Matches at the weekend, trips, meetings with clubs, calls to players and families, and tasks that come up in every conversation. If all of that lives in different places, the urgent gets mixed up with the important and something ends up slipping through.

1. Events and tasks, in the same place

Separate two things: what has a set time, like a match, a trip or a meeting, and what you need to do, like making a call, preparing a proposal or reviewing a contract. But keep them together, so you can see each full day at a glance.

In wiqo, the Agenda has two parts: the Calendar, with your events day by day, and the To Do, with your tasks.

2. Your players' matches, in your calendar

Matches shape an agent's week: when to travel, who to call afterwards and which player to go and watch. Having them in the same calendar as your meetings avoids clashes and things being forgotten.

In wiqo, your players' matches appear automatically in the Calendar, with the time and the competition. And as soon as the match ends, wiqo lets you know your player's minutes, goals, assists and rating.

3. Every task, with its date

A task without a date is just a wish. Give each one a due date and note who it concerns, the player or the club, so you always know what's pending and with whom.

In wiqo you create a To Do with the + button, from the To Do tab or by speaking with a Voice report. Anything overdue shows in red until you sort it out.

4. Note things down by speaking, right away

Tasks almost always come out of a conversation: I'll send you the proposal on Monday, let's talk after the match. If you don't note them down there and then, they get lost. The easiest way is to do it as soon as you hang up, even if you're in the car.

With wiqo's Voice report you describe what happened and the app creates the activity, tasks and events, linked to the player and the club.

5. Start every day with what's urgent

Before you get going on anything, check three things: what events you have today, which tasks are due today and what you've fallen behind on. Five minutes at the start of the day saves you a lot of rushing.

In wiqo, the Dashboard shows you as soon as you open it today's events, what's pending and what's overdue, how your deals are going and the contracts nearing their end.

6. Let reminders do the work for you

You can't keep everything in your head. Let your tool remind you of what can't wait:

  • Tasks due today, at their time.
  • Contracts nearing their end, as far in advance as you choose.

In wiqo, the To Do reminds you of what's due today at its time, and contract expiry reminders are created automatically, as far in advance as you choose.

7. Don't lose touch with your players

With lots of players, it's easy for weeks to go by without talking to one of them, without you even noticing. And a player who feels their agent doesn't call them is a player who starts listening to others. Decide how often you want to talk to each one and stick to it.

In wiqo you have an inactivity reminder. You choose how often you want to talk to a player, for example every week. wiqo checks when you last logged any activity with them and, if that time has passed, it lets you know.

8. A review at the end of the week

Set aside a fixed time, Friday for example, to close the week: tick off what's done, move what's left and prepare the next one with the matches and trips coming up.

In wiqo, wiqo AI prepares what's urgent for your players every week, with recommendations you can approve and turn into tasks.

9. On your phone and on your computer

A big part of your day happens outside the office. Your agenda has to be on your phone and, when you sit down, on your computer, with the same on both.

wiqo is a native app for iPhone and Android, with a web version, and everything stays in sync.
